Free Business Email at Your Own Domain: What Still Works
Yes, but only one option is a real free mailbox. Zoho Mail's Forever Free plan gives up to 5 people an inbox at your own domain, read in a browser or Zoho's app. The rest are forwarders that only receive, trials that turn into a bill, or addresses on someone else's domain.
Three Things to Know
- Zoho's free plan covers up to 5 users with 5 GB each, but it leaves out IMAP, POP and ActiveSync. So no Outlook and no iPhone Mail app.
- Free forwarders from Cloudflare and Namecheap only receive. The usual way to reply, Gmail's Send mail as, ends for outside addresses in January 2027.
- In our scan of 1,933 shop domains with email, 53 ran on a free forwarder and 21 on Zoho. Google and Microsoft handled 835.
Most owners think free email at their own domain is one setup trick away. Point the domain at Gmail, set it to send as you, done. That trick has an end date. Gmail's help page now says that starting January 2027, it will no longer support Send as for third party addresses.1 An address at your own domain, hosted anywhere but Google, is one of those.
So the question changes. What is free for good, what is free for a month, and what costs a dollar?
Every Free Option, Side by Side
| Option | At your own domain | Sends as you | Cost | The catch |
|---|---|---|---|---|
| Zoho Mail Forever Free | Yes | Yes | $0 for up to 5 users2 | Web and Zoho's app only. No IMAP, POP or ActiveSync2 |
| Cloudflare Email Routing | Yes | No | $03 | Receive only. Your domain must use Cloudflare DNS5 |
| Namecheap free forwarding | Yes | No | $0 with Namecheap DNS6 | Receive only. Up to 100 forwarding addresses6 |
| Microsoft 365 trial | Yes | Yes | Free for 1 month7 | Renews to a paid yearly term unless you turn it off7 |
| Google Workspace trial | Yes | Yes | Free for 14 days8 | Then a paid plan |
| mail.com | No | Yes | $09 | The address ends in their domain, like @accountant.com |
Only the first row is a mailbox you can keep for free and send from. Everything else either stops at the inbox or stops at the end of the trial.
Zoho Mail Free Is the One Real Mailbox
Zoho's pricing page lists a Forever Free plan. It hosts email for one domain, for up to 5 users, with 5 GB of mail storage each.2 The same box says IMAP, POP and ActiveSync are not included. Zoho also marks the plan as available only in select data centers.2
What does that mean on a busy Tuesday? You read and send mail in a browser tab or in Zoho's own phone app. You can't add the account to Outlook, Apple Mail or the Gmail app. Our IMAP vs POP3 guide explains why that matters when two or three people share an inbox.
The plan also has a ceiling. Zoho says that from the sixth user on, every user has to move to a paid plan.2 The first paid step is small. Mail Lite lists at $1 a user a month, billed yearly, with no monthly option. Workplace Standard is $3 a user a month billed yearly, or $4 month to month.2

I'd use Zoho free for a crew of one to five that is happy in a browser. I wouldn't use it for an office that lives in Outlook.
Forwarders Receive Mail but Never Send
Cloudflare and Namecheap will both take mail sent to your domain and pass it to an inbox you already have. Neither one sends mail for you.
- Cloudflare Email Routing. It is on Cloudflare's free and paid plans, and forwarding to verified addresses is free. Sending to any recipient is a separate product on the paid Workers plan.3 You get up to 200 routing rules per domain and 200 destination addresses per account. Incoming messages can be up to 25 MiB.4 Your domain has to use Cloudflare DNS.5
- Namecheap free forwarding. It only works when your domain uses Namecheap's own DNS. You can make up to 100 forwarding addresses. Namecheap says plainly that it does not let you send outgoing mail from those addresses, and it can't run next to Private Email or another mail service.6
Getting mail in was never the hard part. Replying was. For years the answer was Gmail's Send mail as setting, which put your business address in the From line.

Google names only two kinds of address that keep working, Google Workspace aliases and other Gmail addresses you own.1 Gmail also stops fetching other accounts over POP for existing users that month.10 Our free Gmail vs Google Workspace guide walks through both changes.
Keep a forwarder past January and mail still arrives. Your replies just go out from your @gmail.com address. A customer who saved your business address now hears back from a different one.
What 1,933 Shop Domains Use for Email
This part is our own data. On October 22, 2026 we picked 3,000 independent auto repair shop domains at random and looked up their mail records. 2,907 still answered. 1,933 had email set up.
| Who handles the mail | Domains | Share |
|---|---|---|
| 491 | 25.4% | |
| Microsoft | 344 | 17.8% |
| GoDaddy | 87 | 4.5% |
| A free forwarder (Namecheap 37, Cloudflare 10, Porkbun 3, ImprovMX 3) | 53 | 2.7% |
| Hostinger | 47 | 2.4% |
| Zoho, free or paid | 21 | 1.1% |
| Web hosts, filters and everyone else | 890 | 46.0% |
Three things stand out.
- Free forwarders are rare, but real. 53 domains, about 1 in 36, ran on one. If those owners reply through Gmail, they have a January deadline.
- Zoho is small in this crowd. 21 domains, about 1 in 92. From the outside we can't tell free from paid.
- Most shops end up paying Google or Microsoft. Together they handled 835 of the 1,933, or 43 percent.
When Free Stops Being Worth It
Pay for a mailbox when any of these is true.
- You need mail in Outlook or the iPhone Mail app. Zoho's free plan can't do it.2
- More than five people need an inbox. Zoho's free plan stops at five.2
- You reply to customers from the address. A forwarder can't send, and the Gmail way around that ends in January.1
- The address is on your truck, your cards or your sign. You want it working for years, not until the next policy change.
The cheapest step up is smaller than most people guess. By our math from Zoho's $1 list price, one Mail Lite user is $12 a year.2 Google Workspace Business Starter lists at $7 a user a month on a yearly plan, or $84 a year for one person.8 Our Google Workspace vs Microsoft 365 guide compares the two big ones line by line.
Watch the trials, though. Microsoft says a trial renews into a paid yearly term by default unless you turn off recurring billing.7 Set a reminder the day you sign up.
Zoho Free Setup in One Afternoon
- Own the domain. Our guide to what a domain costs covers the yearly bill.
- Sign up for Forever Free from Zoho's pricing page, using the domain you own.2
- Prove you own the domain. Zoho gives you a record to add at your DNS host.
- Make each user, then add aliases like info@ and service@ to a real user.
- Point your MX records at Zoho, then add SPF and DKIM. Our email deliverability guide explains those records.
- Send a test from another account, and reply to it, before you print the address anywhere.
If a forwarder is already running, delete its MX records when you add Zoho's. Namecheap says its forwarding can't run next to another mail service.6

Before You Call
Is there a truly free business email with my own domain?
Yes. Zoho Mail's Forever Free plan hosts email for one domain for up to 5 users with 5 GB each. It works in a browser and Zoho's app, but not in Outlook or other mail apps, because IMAP, POP and ActiveSync are not included.
Can I send email with Cloudflare Email Routing?
No. Email Routing only receives and forwards. Cloudflare's sending product needs the paid Workers plan, and your domain has to use Cloudflare DNS for routing to work at all.
Will Gmail Send mail as stop working in 2027?
For third party addresses, yes. Gmail's help page says Send as stops for them starting January 2027. Google Workspace aliases and other Gmail addresses you own keep working.
Can I get a free business email without a domain?
Yes, at mail.com, which offers over 100 free domains like @accountant.com. The catch is that the address belongs to their domain, not yours, so it can't move with your business.
What is the cheapest paid business email?
Of the plans we priced, Zoho Mail Lite at $1 a user a month billed yearly. Google Workspace Business Starter lists at $7 a user a month on a yearly plan.
Do free email trials charge you automatically?
Microsoft's can. Microsoft says its business trial renews to a paid yearly term by default unless you turn off recurring billing first. Google's trial lasts 14 days.

POP3 downloads mail to one device and, by default, deletes it from the server. Pick POP3 only if one computer is the only place you ever read mail and you back it up.
