Free Gmail vs Google Workspace for Business Email (2026)

Free Gmail is fine for a business that is happy with an @gmail.com address. If you want [email protected], plan on Google Workspace at $7 a person a month on a yearly plan, or another paid mailbox. The old trick of running a business address through free Gmail stops working in January 2027.

Three Things to Know

  • Google says you can use a personal Gmail account for business. You just keep the @gmail.com address.
  • Gmail ends POP fetching for existing users and Send as for third party addresses in January 2027. Those two settings are the whole free trick.
  • Workspace Business Starter lists at $7 a user a month on a yearly plan, with up to 30 free aliases per user. So info@ and service@ do not need their own seats.

Plenty of owners believe you can run a business address through free Gmail forever, for nothing. For years you could. You pointed Gmail at your business mailbox, pulled the mail in, and set Gmail to send as that address. Google is shutting both doors. POP fetching ends for existing users in January 2027.1 So does Send as for third party addresses.2

So the real choice is now simpler. Keep a plain @gmail.com address for free, or pay for a mailbox at your own domain.

Google's own business email page says yes, you can use a personal Gmail account for business.5 Nothing stops a one person shop from doing that. The catch is the address, and who controls it.

The Free Gmail Trick Ends in January 2027

The trick had two halves. Both live in Gmail's settings under Accounts and Import.

  1. Check mail from other accounts. Gmail logged in to your business mailbox over POP and pulled new mail into your Gmail inbox.
  2. Send mail as. Gmail sent replies with your business address in the From line.

Google is retiring the first half. New users lost it after the first quarter of 2026. Existing users keep it until January 2027, and then it is gone from Gmail on the computer.1 Gmailify, which added Gmail's spam filter and inbox tabs to an outside account, is ending too.1

The second half goes at the same time. Gmail's help page now says that starting January 2027, Gmail will no longer support Send as for third party addresses. The only ones Google names as safe are Google Workspace aliases and other Gmail addresses you own.2 A business address hosted somewhere else is not on that list.

What stops, and whenAfter Q1 2026New users cannot add POP fetchingJanuary 2027Existing users lose POP fetchingJanuary 2027Send as ends for third party addressesStill worksForwarding, and IMAP in the Gmail app
The two settings behind the free trick, and their end dates, from Gmail's own help pages as of October 2026.

What still works? Google lists two paths. Forward mail from your other provider into Gmail, or add the account to the Gmail app on your phone, which connects by IMAP.1 Forwarding gets mail in. It does not fix replies, because the reply will come from your Gmail address. Our IMAP vs POP3 guide explains why IMAP is the better way to read a business mailbox anyway.

There was always a second catch. Gmail warns that people on Outlook and some other services may see your Gmail address in a line like "on behalf of" next to your business address.2 A customer can spot it.

When Free Gmail Is Still Fine

I'd keep free Gmail when all of these are true.

  • You work alone. Nobody else needs to read or answer the mail.
  • The address is yours, not the company's. If you sell the business, the inbox does not go with it.
  • You are fine with @gmail.com. A tow driver or a handyman can win work with a Gmail address.
  • You stay under 15 GB. That space is shared with Drive and Photos, and Google says a full account can affect sending and receiving mail.4

Move to a paid mailbox when any of these are true.

  • You hire someone. A Workspace admin can add and remove people. A shared Gmail password is a mess the day someone quits.
  • You want info@ or service@. In Workspace those are free aliases on a real user, up to 30 per person.6
  • You print the address on trucks, cards or signs. Your own domain stays yours if you change providers later.

What Workspace Really Costs a Small Team

Google lists Business Starter at $7 per user a month with a one year commitment. Month to month costs more, and tax is extra.3 Our own math from that list price, for one year on the yearly plan, is below.

TeamPaid usersCost per year before tax
Owner only, with info@ and service@ as aliases1$84
Owner, office manager, one tech3$252
Five people, each with a login5$420

The trick most owners miss is aliases. One paid user can receive mail for info@, service@ and quotes@. You only pay for the people who log in. Google allows up to 30 aliases per user at no extra cost.6

You also need the domain itself. Our guide to what a domain costs covers that bill.

Leaving the Free Trick Before January

Do it on a slow week, not the week it breaks.

  1. List every address you use. Main, info@, billing@, the old one from the last website.
  2. Pick the paid mailbox. Workspace if your team already lives in Gmail. Our Google Workspace vs Microsoft 365 guide covers the other big option.
  3. Make the real users, then add the rest as aliases.
  4. Point your domain's MX records at the new provider. Our business email setup guide walks through it.
  5. Bring the old mail over. Google says a one time import still works on the web, but it does not keep syncing after that.1
  6. Turn off the old POP fetch and Send as settings in free Gmail once the new mailbox is getting mail.

Before You Call

Can I use Gmail as my business email for free?

Yes, with an @gmail.com address. Google says a personal Gmail account can be used for business. An address at your own domain needs a paid mailbox, and the free workaround through Gmail ends in January 2027.

How much does Gmail for business cost per month?

Google Workspace Business Starter lists at $7 per user a month on a one year plan, before tax. Month to month costs more. Business Standard is $14 and Business Plus is $22 per user a month on the same plan.

Can I add my business email to my Gmail account?

Until January 2027, existing users can still pull it in by POP and send as it. After that, Google says to forward mail from your provider into Gmail or add the account to the Gmail phone app by IMAP.

Is Gmail ending Send mail as?

For third party addresses, yes. Gmail's help page says Send as stops working for them in January 2027. Google Workspace aliases and other Gmail addresses you own are not affected.

What is a custom domain email?

An address that ends in your own domain, like [email protected], instead of @gmail.com. You pay for a mailbox and point the domain's MX records at it.

Do I need a separate Workspace user for info@ and sales@?

No. Those can be aliases on one user. Google allows up to 30 aliases per user at no extra cost. Pay for a user only when a person needs their own login.

  • Google Workspace vs Microsoft 365 for Small Business (2026)In October 2026 the two cost the same. Both start at $7 a user a month on a yearly plan and $8.40 on a monthly one. So pick on how your team works. Pick Microsoft 365 if you need Word and Excel installed on a computer. Pick Google Workspace if your team lives in Gmail and the browser.
  • IMAP vs POP3 for Small Business EmailUse IMAP. It keeps your mail on the server, so your phone, laptop and office computer all show the same inbox. POP3 downloads mail to one device and, by default, deletes it from the server. Pick POP3 only if one computer is the only place you ever read mail and you back it up.
